District Accounts Exit Process

For layoff, retirement, resignation, or long-term leave of absence

In this age of “anytime, anywhere, any device” access, the FHPS Technology Department uses the following process to secure the district network and data when employees leave the district.

Once the Technology Department is notified by Human Resources of an employee’s intent to resign, retire, or enter into a long-term leave of absence, or that an employee has been placed on layoff, Technology will notify professional staff via email of any tasks to be completed.

All accounts for employees on layoff or on long-term leave of absence are retained, but disabled, until such time the employee returns to work in the district, or resigns or retires.

Hardware:

    • District owned laptops (power adapter, case, and any other accessories ), tablets/iPads, Chromebooks assigned to staff must be turned in to the Technology Office in the Administration Building on or before the employee’s last day of work

    • Desktop computers, docking stations, document cameras, and other peripheral devices are to remain in the classroom or office where they are assigned. The Technology Department will work with the building principal or employee’s supervisor to determine any reassignment of equipment

    • Student Chromebooks, iPads, and their chargers issued by your building or department are to remain in with the issuing building or department. Please leave these devices in your classroom/office or see your principal/supervisor for further direction. NOTE: Teacher second devices are BUILDING issued devices and are to remain with the building. You should turn this device in to your principal/supervisor

Accounts (as applicable):

    • PowerSchool, network (Active Directory) and all linked accounts--Google Workspace, WebHelpDesk, eFinance, SchoolDude, Stoneware portal, Follett, OverDrive, FHPS Moodle - disabled at the end of the day on the user’s last day of work within the district

    • Network home drive - data is retained for two years following the last date of employment
